Free CRM or free trial: what is the difference?

This is the most common trap when you search for “free CRM software”. Plenty of vendors flash the word “free” when all they offer is a 14 or 15 day free trial: once the clock runs out, the tool locks and you have to subscribe to keep working. What are the real limits of a free CRM?

A free plan is never a selfless gift: it is an entry door. Vendors deliberately cap the free edition to nudge you toward paid the moment your business takes off. Three limits show up almost every time.

The number of users. Zoho and Freshsales cap the free plan at 3 seats, HubSpot allows unlimited users on the core CRM but restricts some sales and service tools, and Brevo is built more around contacts than seats. Only Bitrix24 truly offers unlimited users. As soon as a sales team crosses these thresholds, moving to paid becomes mechanical.

Data volume. HubSpot stores up to 1,000,000 contacts but limits marketing sends, Zoho caps at 5,000 records, and Freshsales stops at 1,000 contacts. Brevo allows unlimited stored contacts but throttles sending to 300 emails per day.
