1. What functional scope and which modules do you need?

This is the first filter. An ERP is built from modules you switch on as needed: accounting, sales, purchasing, inventory, manufacturing (MRP), CRM, HR, project management. Start by listing your real processes and current pain points, then match them against each vendor’s catalog.

The classic trap is buying an over-engineered platform where you will only ever use 20 percent. Conversely, a tool that is too light forces you to bolt on multiple third-party apps. 3. Cloud or on-premise: which should you choose?

On-premise installs the software on your own servers. You keep full control of your data and customizations, at the cost of hardware investment and an IT team to run it. 5. What does an ERP really cost?

This is where most projects go off the rails. The license or subscription price is often only a fraction of the total budget. The full cost of an ERP breaks down into four line items:

  • Licenses or subscription: per user per month in SaaS, or a purchased license on-premise.
  • Implementation and configuration: the heaviest line, often larger than the software cost itself. Data migration, customization, connectors.
  • Team training: essential for adoption, never something to cut.
  • Maintenance and support: updates, assistance, yearly enhancements.

6. Where is your data hosted (residency and security)?

An ERP concentrates your most sensitive data: customers, employees, accounting, margins. The question of hosting is therefore central. Favor a vendor that lets you choose the data region, offers a clear data processing agreement and a transparent reversibility policy. Vendors that guarantee specific datacenter locations give a sovereignty argument that is valued in regulated sectors. Also check the ability to export your data at any time, so you are never locked in.
